I covered HoneyBook a while back, and Dubsado came up constantly in that research as the deeper, more customisable alternative — genuinely different enough to deserve its own honest look rather than just a line in someone else’s review.

What Dubsado Actually Is
Founded in 2016, Dubsado bundles proposals, contracts, invoicing, scheduling, client portals, forms and workflow automation into one platform aimed at freelancers and creative professionals — photographers, designers, coaches and consultants are the businesses it’s most commonly associated with. The core appeal is customisation: branded, drag-and-drop forms and workflows that can be built to match almost any service business, rather than a fixed template you adapt to.

Two paid tiers: Starter at around $35 a month (roughly £28), covering client portals, invoicing and templates, and Premier at around $55 a month (roughly £43), which unlocks the workflow automation, scheduling and Zapier integration Dubsado is actually known for. Both are cheaper billed annually. There’s no free plan, but there is a genuine 14-day free trial to test the workflow builder before committing. These GBP figures are approximate, since Dubsado bills in US dollars.
The Real Setup Time Cost
This is the single most consistant theme across every independent review, and it’s worth taking seriously before signing up. Multiple sources cite anywhere from 15-25 hours up to several weeks to properly configure workflows, forms and automations — this genuinely isn’t a same-afternoon setup the way some competitors are. The workflow builder itself gets described as powerful but confusing for new users, with several reviewers mentioning it took several attempts to get automations working smoothly. If you’re not willing to invest real time up front, this is importent to know before you buy rather than after.
What’s Genuinely Good
Once set up, the customisation is genuinely deep — branded proposals, contracts and questionnaires with smart logic and e-signature built in, workflows that can automate nearly every step of client communication, and regular product updates that reviewers say build confidence the platform keeps evolving. The 3.0 update added a Kanban board view and a global time tracker, though the time tracker is Premier-only.
What to Know Before You Buy
Scheduling is genuinely basic compared to dedicated booking tools — no AI scheduling, round-robin assignment or group booking. Project management is similarly limited: a Kanban view exists, but there’s no Gantt chart, task dependencies or milestone tracking, so anyone managing complex multi-phase projects will likely need a separate tool alongside it. There’s no dedicated mobile app, just a browser version that works but isn’t especially convenient on the go, and a handful of reviewers mention occasional invoicing quirks with recurring billing.
Dubsado vs HoneyBook
The trade-off is consistent across independent comparisons: Dubsado offers deeper customisation and more control for those willing to invest setup time, while HoneyBook is faster to configure and more polished straight out of the box. I’ve covered HoneyBook properly in my standalone review, including its own comparison section against Dubsado, if you want the fuller picture from that side.
Who It’s Actually For
Genuinely well suited to artists taking regular commissions or running a consistant client pipeline who want a fully branded, automated onboarding experience and are willing to spend real time building it once. Less suited to anyone wanting something usable within a day, or anyone needing proper project management alongside client admin — that’ll mean pairing it with a separate tool.
